A dealer order may contain products with different supply schedules. Agreed phased deliveries, shipments from different warehouses, or temporary stock shortages can all leave an order marked as “partially shipped.” This status means that the order has not yet been dispatched in full. The reasons and next steps need to be assessed against the item details and agreed supply arrangements.
For brands, the priority is to maintain visibility over the remaining items: which are awaiting dispatch as planned, which need a revised supply arrangement, and which can be adjusted by agreement. Goods already shipped continue through delivery, while the unshipped portion has a clear next step, keeping phased fulfillment on track.
PEKON B2B Ordering connects dealer ordering, commercial policies, order approval and allocation, and account management. Its integration with ERP shipment information provides a foundation for managing order fulfillment.
Clarify item progress, remaining quantities and supply arrangements
Within the same order, items that have not yet been allocated, items being picked in the warehouse, and items already handed to a carrier but awaiting a logistics update are at different stages. Decisions about the next step need to take account of allocated and shipped quantities, together with warehouse progress, to establish what can still be adjusted.
Supply dates also describe different milestones. An expected procurement arrival, completed warehouse receipt, and confirmed allocation to a dealer each represent a different stage. Communication with dealers should reflect the information available at that stage and distinguish estimated dates from confirmed delivery arrangements.
For products scheduled for phased delivery, the next batches can continue to be tracked against the plan. Where supply arrangements change, the brand can confirm a revised plan in line with the agreement. This gives business teams a clear basis for discussing individual items and helps dealers plan their subsequent operations.
Agree how to handle remaining items under the order terms
Remaining items can stay scheduled for dispatch, be changed by agreement within the applicable rules, or be cancelled in accordance with those rules. The approach depends on the order terms, actual supply conditions and confirmation by both parties.
| Approach | Arrangements to clarify | Records to retain |
|---|---|---|
| Retain for later dispatch | Items and quantities, supply date or next confirmation point, and the applicability of the original prices and commercial policies | Remaining quantities, supply arrangements and follow-up outcomes |
| Change items by agreement | Replacement products, specifications, quantities, prices and confirmation method | Quantity reductions for the original items, replacement details and price differences |
| Cancel under the applicable rules | Quantities eligible for cancellation, approval authority and treatment of related funds | Cancelled quantities, warehouse outcomes and account adjustments |
For example, if a dealer wishes to change an unshipped shade to another shade, the parties need to confirm the product, quantity and price difference, while retaining a link between the original order and the agreed change. Whether this uses a linked order amendment or a new order can be determined according to the brand’s process and the system design.
These arrangements follow brand policies and confirmation by both parties. Clear authority to initiate, approve and confirm changes allows comparable transactions to be handled under consistent rules.
Check order changes against warehouse and account outcomes separately
Order changes need to reflect actual shipment progress. Once a request is submitted, the relevant business teams and systems confirm what can still be adjusted and return the outcome. Goods already handed to a carrier follow the applicable after-sales process, such as a return.
Shipment coordination between PEKON B2B Ordering and ERP includes sending allocation documents, warehouse dispatch, and the return of logistics information. For adjustments to remaining items, the solution design also needs to specify who receives the change, when the warehouse outcome is confirmed, and how order progress is updated. When items are changed, reducing or stopping further dispatch of the original product must correspond to the allocation of its replacement.
Goods and funds also require separate confirmation. Prepayments, account limits and price differences arising from cancellations or item changes follow the brand’s settlement rules. Matters still being processed retain their own progress records. Completion of the order change, warehouse confirmation and account adjustment can each be checked against the relevant records.

Supporting channel fulfillment through PEKON and ERP coordination
PEKON B2B Ordering provides a foundation for ordering, approval and allocation, and account management, with ERP integration for shipment information. For the remaining portion of a partially shipped order, the project design assigns responsibilities across orders, warehouse execution and accounts according to brand policies, so that business decisions correspond to execution and records.
A practical solution discussion can start with an anonymized, partially shipped order: review item progress, agree how to handle the remaining portion, and then check the warehouse and account outcomes. For later dispatch, item changes and cancellations, the relevant functions, approvals and interfaces should be assessed separately to establish what existing products or configuration can support, and what requires ERP coordination or project-specific development.
When replacing systems, existing partially shipped orders and their follow-up records also need to be included in the transition plan. See Data migration before a dealer ordering system goes live: price lists, master data and open orders.
